About Canvas Gradebook Export Helper
This tool generates Excel files formatted for upload to Banner by reading gradebook data from College of LAS courses in Canvas. It is intended to streamline the transfer of grades from Canvas to Banner and provide basic checks for common inconsistencies in the grade finalization process. The tool does not have the ability to access grade data from courses housed in other college's Canvas areas.
What the Tool Does
- Exports Canvas grade data into Banner-formatted Excel spreadsheets, one per CRN.
- Adds the required "last date of attendance" (Canvas last login) for students receiving failing grades (when reporting final grades).
- Scans the gradebook for common issues and offers options for how to handle them.
- Produces an HTML report summarizing irregularities and recommendations.
- Does not alter any grade information in Canvas.
- Does not upload grades to banner itself.
- Deletes all uploaded grade data from the tool after 5 minutes; no data is retained.
How This Differs From Canvas's Native Gradebook Export
- Canvas provides a raw CSV of all gradebook columns.
- This tool outputs Excel files specifically structured for Banner grade submission.
Status: Stable Release
This application has been successfully used for several high-enrollment courses for more than one semester. Errors or unexpected behavior are still possible due to high variability in course designs.

Recommended Process for Instructors
- Verify that your Canvas course has a grading scheme applied. Banner requires letter grades, and Canvas uses the course grading scheme to convert point totals into letters.
- Log into the Grade Export Tool and select your course. Only courses where you have a teacher role and that ended in the last 120 days (or are still active) appear.
- Review any reported issues when preparing final grades. Examples include:
- Differences between Current and Final grades
- Ungraded assignments
- Students missing data needed for Banner
- Last attendance date for students with failing grades
- Choose how you want the tool to handle any flagged issues.
- Generate the spreadsheets. The tool creates one Excel file per Banner section (CRN).
- For failing grades, the file includes a last-attendance date based on Canvas login.
- If a student never logged in, you will be prompted for the course start date.
- These values are provided as a starting point that may be suitable for fully online courses, yet inaccurate for courses where students attend class in-person.
- Save the files securely. All processing data is removed from the server within 5 minutes.
- Check spreadsheets for accuracy and completeness.
- Upload the spreadsheets to Banner.
HTML Report
At the end of the process, you have the option to download the HTML report created during the processing of your course gradebook containing all issue checks and status messages helpful for reviewing the exported gradebook data. Store the report securely if you choose to keep it since everything produced by this tool contains your students' protected data.
